Upload Session

Upload an existing session recording (audio or video) to automatically generate professional session notes.

What is Upload Session?

Upload Session allows you to upload pre-recorded therapy sessions from your computer. Serene's AI processes the audio to create transcripts and generate structured session notes, just like the Record Session feature.

How to Upload a Session

  1. Click "Upload" on the "Upload Session" card in Quick Actions
  2. Select your client from the dropdown or create a new client profile
  3. Choose your file:
    • Click "Browse" or drag and drop your file
    • Supported formats: MP3, WAV, M4A, MP4, MOV, AVI
  4. Wait for upload - larger files may take a few minutes
  5. Processing begins automatically after upload completes
  6. Review your note in Pending Review once processing is done

File Size Limits

Maximum file size depends on your subscription plan. Larger files may take longer to process.

When to Use Upload Session

  • Previously recorded sessions from Zoom, Teams, or other platforms
  • Audio files from voice recorders or phone recordings
  • Video recordings from in-person or online sessions
  • Bulk processing of multiple sessions recorded earlier

Processing Time

Upload and processing times vary based on:

  • File size and duration
  • Audio quality
  • Current system load

Typical processing times:

  • 30-minute session: 3-5 minutes
  • 60-minute session: 5-10 minutes
  • 90-minute session: 10-15 minutes

What Happens During Processing?

  1. Upload: File is securely transferred to Serene's servers
  2. Audio Extraction: Video files have audio extracted
  3. Transcription: Speech is converted to text
  4. AI Analysis: Session content is analyzed
  5. Note Generation: Structured note is created
  6. Ready for Review: Note appears in Pending Review

Best Practices

Optimize Your Uploads
  • Use high-quality recordings for better transcription accuracy
  • Ensure clear audio with minimal background noise
  • Check file format before uploading to avoid errors
  • Name files descriptively to help identify sessions later

Limitations

You cannot upload when:

  • Another upload is currently in progress
  • A recording session is active
  • You've exceeded your monthly upload quota

Privacy and Security

  • Files are encrypted during upload
  • Recordings are automatically deleted after processing (configurable)
  • Only you have access to your uploaded files
  • All processing is HIPAA-compliant

Troubleshooting

Upload failed?

  • Check your file format is supported
  • Ensure file size is within limits
  • Verify your internet connection is stable
  • Try compressing large files before uploading

Processing taking too long?

  • Longer sessions naturally take more time
  • Check the upload progress indicator
  • Wait at least 15 minutes before reporting issues

Poor transcription quality?

  • Upload higher quality audio files
  • Ensure recording has clear, distinct voices
  • Reduce background noise in future recordings
