Add Client
Create a new client profile to organize notes, schedules, and track their therapeutic progress.
What is Add Client?
The Add Client feature allows you to create client profiles in Serene. Each profile serves as a central hub for all client information, including session notes, treatment plans, assessments, and progress tracking.
How to Add a New Client
- Click "Add" on the "Add Client" card in Quick Actions
- Fill in the required information:
- Name (required) - Your client's full name
- Email (required) - Used to uniquely identify your client and for communication
- Sex (required) - Select Male, Female, or Other
- Add optional details:
- Age - Client's current age
- Marital Status - Single, Married, Divorced, Widowed, or Prefer not to say
- Notes - Any additional information about the client
- Click "Save" to create the profile
The email address uniquely identifies each client in your account. You cannot create two clients with the same email address.
What Information Is Collected?
When adding a client, you provide:
- Name - Full name of the client
- Email - For identification and communication
- Age - Optional demographic information
- Sex - Male, Female, or Other
- Marital Status - Optional relationship status
- Notes - Free-form field for any additional details you want to remember
After Creating a Client Profile
Once a client profile is created, you'll be automatically redirected to their client record page where you can:
- View all session notes organized chronologically
- Add session records by recording, uploading, or creating notes
- Create treatment plans with therapeutic goals
- Track progress with Mental Status Examinations (MSE)
- Analyze emotional patterns from session transcripts
- Manage client portal access for secure client communication
- View booking history if the client has scheduled sessions
- Share records with team members (if using team features)
Client Record Sections
Each client profile includes dedicated sections for:
Session Records
All your session notes for this client, including BIRP notes, SOAP notes, and unstructured notes, organized by date.
Treatment Plans
Set therapeutic goals, document interventions, and track progress toward treatment objectives.
Mental Status Examinations (MSE)
Record and track MSE assessments over time to monitor clinical changes.
Emotional Analytics
View emotional patterns identified from session transcripts, helping you understand your client's emotional journey.
Client Portal
Generate a secure portal link that allows your client to access their treatment plans and session summaries.
Booking Records
See all past and upcoming appointments associated with this client.
Best Practices
- Use a valid email address - This is how Serene identifies each client
- Create profiles before first session - Have everything ready when your client arrives
- Add notes during creation - Include presenting concerns or other relevant information in the notes field
- Keep information updated - You can edit client details at any time from their profile page
Managing Your Client List
After adding clients, you can easily manage them from the Clients section:
- Search by name or email to quickly find specific clients
- View all clients in a organized list
- Archive inactive clients to keep your active list clean
- Access client records with one click
Privacy and Security
- All client information is encrypted and stored securely
- Access is restricted to your account only (unless shared with team members)
- HIPAA-compliant data storage and handling
- Only you control what information is stored
Usage Limits
Depending on your subscription plan, there may be a limit on how many new clients you can add per month. If you've reached your limit, you'll see a notification when trying to add a new client.
Troubleshooting
"Client with this email already exists" error?
- Each client must have a unique email address
- Check if you've already created a profile for this client
- Search for the client in your client list before creating a new profile
- If needed, update the existing client's information instead
Can't save the client profile?
- Ensure all required fields are filled in (Name, Email, Sex)
- Verify the email format is correct
- Check that you haven't exceeded your monthly client limit
Can't find a client after creating?
- After creation, you're automatically redirected to the client's record page
- You can always find clients in the Clients section of your dashboard
- Use the search bar to quickly locate any client
Need to update client information?
- Navigate to the client's record page
- Click the edit button in the Basic Details section
- Update any information and save your changes
