Adding Time Off

Block out vacation, breaks, and personal time

Time off helps you block unavailable periods in your calendar, preventing new bookings during vacations, holidays, or personal breaks.

What is Time Off?

When you add time off:

  • Your booking page automatically blocks those time slots
  • New clients cannot book sessions during that period
  • Existing conflicting sessions are highlighted for your attention
  • The calendar shows your time-off periods clearly

Adding Time Off

Step 1: Open the Time-Off Dialog

  1. Navigate to Your Calendar in the dashboard
  2. Click the calendar with X icon (EventBusy) in the top right corner
  3. The "Add Time Off" dialog will open

Step 2: Set the Time Period

Start Date and Time

  • Select the first day of your time off
  • Set the start time (e.g., 9:00 AM)

End Date and Time

  • Select the last day of your time off
  • Set the end time (e.g., 5:00 PM)
Full Day vs. Partial Day
  • For full days off, set times to cover your entire work schedule (e.g., 9 AM - 6 PM)
  • For partial days, use specific times (e.g., 1 PM - 3 PM for a lunch break)

Step 3: Review Conflicts

Before saving, Serene shows any sessions that conflict with your time-off period. You'll see:

  • Number of conflicting sessions
  • List of affected appointments with client names and times
  • Warning indicators if conflicts exist

Step 4: Save Your Time Off

  1. Click "Save" or "Add Time Off" button
  2. Time-off period is now active
  3. Your booking page automatically updates to block those times

Managing Existing Time Off

All your upcoming time-off periods appear below the calendar view.

Viewing Time Off

Each time-off entry shows:

  • Start date and time (e.g., "15th Jan 9:00 AM")
  • End date and time (e.g., "20th Jan 5:00 PM")
  • Duration (e.g., "5 days")

Editing Time Off

To modify a time-off period:

  1. Click the "Edit" button on the time-off card
  2. Update the start or end date/time
  3. Review any new conflicts
  4. Click "Save" to update

Deleting Time Off

To remove a time-off period:

  1. Click the "Delete" button (red outlined)
  2. Confirm the deletion
  3. Time-off is removed and those slots become available again

When you delete time off, clients can immediately book sessions during those previously blocked times.

Handling Conflicting Sessions

When time off conflicts with existing bookings, you have several options:

Reschedule the Session

  1. Click on the conflicting session
  2. Select "Modify Booking"
  3. Choose a new date and time
  4. Client receives automatic notification

Cancel the Session

  1. Contact the client directly
  2. Explain the need to cancel
  3. Offer alternative dates
  4. Cancel through the booking system

Adjust Time Off

  • If the session is critical, edit your time-off period to work around it
Best Practice

Always review conflicting sessions before finalizing time-off plans. Contact affected clients as early as possible to reschedule.

What Clients See

Your time-off periods automatically affect your public booking page:

  • Time slots during time off are grayed out or hidden
  • Calendar shows those dates as unavailable
  • Clients cannot select blocked times
